Privacy policy

This Privacy Policy explains how CMYK Industries collects, uses, stores and protects personal information in line with the Protection of Personal Information Act, 2013 (POPIA). It applies to customers, suppliers, operators and website users who contact us from South Africa and neighbouring countries.

Who We Are and Who This Policy Covers

CMYK Industries is based in Midrand, Johannesburg and serves print businesses across South Africa and neighbouring countries. For the purposes of this policy, CMYK Industries is the responsible party and Astros Marketing (Pty) Ltd acts as the operator processing information on our behalf where required for service delivery, administration and communications.

This policy applies to personal information collected from people who enquire about specialised digital printers, transfer machinery, toners, media, installation, maintenance, support and related services. It also applies when you submit details by email, phone, forms or through direct business correspondence.

Information We Collect From Customers And Enquirers

We collect only the information needed to respond to requests, provide quotations, arrange deliveries and support equipment and consumables. This may include contact details, company details, delivery addresses, order history and technical information relating to machines, print settings or media use. In some cases we may also collect records of site visits, training sessions and service callouts.

  • Telephone number, email address and physical address
  • Company name, VAT number and purchase details
  • Machine model, serial number and service history
  • Billing and delivery instructions

How We Use Personal Information In Daily Operations

We use personal information to handle quotations, confirm orders, arrange installation, support colour calibration and manage repairs or preventive maintenance. Information is also used to plan stock, schedule technician visits and follow up on consumable requirements so that print shops can keep work moving even during load-shedding or tight production deadlines.

We may use your details to send invoices, delivery updates, training arrangements and service notices. Where you ask for technical support, we may review machine performance, media settings and workflow details to resolve the issue efficiently and accurately.

When Information May Be Shared Lawfully

We do not sell personal information. Information may be shared only where it is necessary for service delivery, legal compliance, payment processing or logistics support. This can include sharing delivery details with courier partners, technical records with field staff and account information with our finance service providers.

  • When you have given consent
  • When sharing is needed to perform a contract
  • When required by law, court order or lawful request
  • When necessary to protect our rights, systems or customers

Any third party that processes information for us is required to keep it confidential and to use it only for the purpose for which it was supplied.

How We Store, Secure And Retain Records

We take reasonable technical and organisational steps to protect personal information from loss, unauthorised access, alteration or disclosure. These steps include access controls, password protection, secure storage of records and controlled handling of service documentation. While no system is entirely risk free, we work to keep information safe in line with the nature of the records we hold.

Information is retained only for as long as needed for the purpose collected or as required by law, tax rules or contractual obligations. Once no longer required, records are deleted or disposed of in a secure manner. We may also keep limited records for warranty support, machine traceability and audit purposes.
